• Shipment Tracking & Arranging required approvals for clearing
• Constant follow ups and coordinating with clearing agents
• Preparing, organizing and storing information in paper and digital form
• Dealing with queries on the phone and by email
• Managing diaries, scheduling meetings and booking rooms
• Arranging post and deliveries
• Assisting staff regarding doent issuance
• Taking minutes at meetings
• Managing doents (E.g: MSDS, Certificates) related to the operational activity
• Updating computer records using a database
• Printing and photocopying
• Maintaining office systems
• Liaising with suppliers and contractors, Sending Emails
• Liaising with staff in other departments, e.g. finance, HR, accounts.
SKILLS REQUIRED:
• Knowledge of Shipping And Clearing Process in UAE .
• Basic Knowledge of Tally.
• Proficient in Microsoft Office applications
• Excellent Communication Skills – Written and Verbal (fluent in English)
• Proactive and well organized, ability to work independently with minimum supervision.
• Can work under pressure
• Must be a team player
• Able to draft letters and correspondence and filing of doents
• Familiarity with office management procedures
• Coordinate office activities and operations to secure efficiency and compliance with company policies
• Manage phone calls and correspondence (e-mail, letters etc.)
• Sensitivity and understanding
• Flexible and open to change
• Customer service skills
