Key Responsibilities:
•Provide administrative support to the Commercial Manager & General Manager, efficiently handling phone calls, emails, and calendar management
•Organize and maintain client files and important doentation, ensuring accuracy and completeness
•Assist in creating Tenancy Contracts and facilitate the signing process between landlords and tenants
•Verify online portals and maintain accurate property information across various platforms.
•Write, revise, and draft letters, addendum, and contracts pertaining to real estate. Keep an eye on the inventory for renewals, and rentals
•Compile and distribute week reports and communicate key results to the rest of the team to ensure company goals are being met
•Preparing quotation of properties - Coordinating viewings and appointments
•Deal with customer complaints or issues
•Coordinate with the Operations Manager for various office support services, including purchasing and facilities management
•Anticipates assistance needed by identifying problems, needs, options, and solutions before being asked
•To ensure that facilities meet government regulations and environmental, safety and
security standards
•To establish and maintain the PPM schedule, contract management plan of all suppliers
•Ensure completion of corrective and preventive work orders (camp PPM works) accurately and that all doentation and records are maintained
•Most importantly, monitor all important doents related to safety of the camp and its facilities (AMCs, Fire Safety & DCD Certificates etc.)
Requirements and skills:
•Proven experience as facilities manag or relevant position
•Excellent verbal and written communication skills
•Excellent organizational and leadership skills
•Good analytic thinking
•Candidate is to be self-motivated, proactive, highly organized and have the ability to work independently
•Ability to give and take direction, interface with decision makers in a professional manner and maintain confidential information
•Establish and maintain property, lease and vendor files (including contact lists, inventory lists, correspondence)
•At least 2 years’ experience in UAE market
Salary: AED 3,000 to 3,500 and other benefits as per the UAE law
