RADAX Airlines is seeking a highly organized and professional Administrative Assistant (Secretary) to join our team in Muscat, Oman. The successful candidate will play a crucial role in supporting the administrative functions of our executive team, ensuring efficient operations and providing high-level administrative support. Key Responsibilities
Administrative Support:
•Provide comprehensive administrative support to senior executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
•Prepare and edit correspondence, communications, presentations, and other doents.
•Maintain accurate records and files, ensuring all doentation is easily accessible and up-to-date.
•Handle incoming and outgoing communications, including emails, phone calls, and mail, in a professional and timely manner.
•Assist with the preparation and coordination of company events, meetings, and conferences.
Office Management:
•Oversee office operations, including ordering supplies, managing office equipment, and ensuring a well-organized workspace.
•Coordinate with various departments to ensure smooth office functioning and resolve any issues that may arise.
•Maintain an inventory of office supplies and handle procurement processes to ensure adequate stock levels.
Customer Service:
•Act as a point of contact for internal and external stakeholders, providing excellent customer service and addressing inquiries promptly.
•Greet visitors and ensure they are directed to the appropriate personnel or department.
•Assist in handling customer complaints and resolving issues in a courteous and efficient manner.
Project Coordination:
•Support the planning and execution of various projects, ensuring deadlines are met and objectives are achieved.
•Collaborate with team members to ensure effective communication and coordination of tasks.
•Track project progress and provide regular updates to senior management.
Confidentiality and Discretion:
•Handle sensitive information with the utmost confidentiality and discretion.
•Ensure compliance with company policies and procedures regarding data protection and privacy.
Qualifications and Skills
Education:
•Bachelor’s degree in Business Administration, Management, or a related field preferred.
Experience:
•A minimum of 5 years of experience in an administrative or executive assistant role, preferably within the aviation or travel industry.
•Proven track record of providing high-level administrative support to senior executives.
Skills:
•Exceptional organizational and time-management skills, with the ability to multitask and prioritize effectively.
•Strong written and verbal communication skills, with a keen attention to detail.
•Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
•Ability to work independently and as part of a team, demonstrating a proactive and flexible approach.
•Professional demeanor and appearance, with excellent interpersonal skills.
•Fluency in English; knowledge of Arabic is an advantage.
