Job Description

**URGENT HIRING**

We are seeking an energetic and capable administrative secretary to assist us with office administration. In this role, you will be responsible for processing documents, maintaining databases, and liaising with the public. You may also be required to manage office supplies.

To ensure success as an administrative secretary, you should possess excellent communication skills and demonstrable experience in a secretarial role. Outstanding administrative secretaries are highly organized in performing a wide array of administrative duties.

Candidates available in Abu Dhabi and who can join immediately will be given preference.


Candidate Requirements

Responsibilities:
Answer telephone calls and pass them on and reply to the email, telephone or face to face inquiries.
Cover the reception desk.
Greet and assist visitors to the office.
Write and distribute email, correspondence memos, letters and forms.
Update and maintain office policies and procedures.
Maintain contact lists.
Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
Organize and schedule meetings and appointments and take accurate minutes of meetings.
Provide information by answering questions and requests.
Research and creates presentations if needed.
Carry out administrative duties such as develop and maintain a filing system, typing, copying, binding, scanning, etc.
Book conference calls, staff appointments, rooms, taxis, couriers, hotels, travel arrangements, etc. if needed
Handle sensitive information in a confidential manner.
Develop and update administrative systems to make them more efficient.
Photocopy and print out documents on behalf of other colleagues.

Requirements
3 years of Administrative Assistant or Office Admin Assistant experience
Knowledge of office management systems and procedures
Proficiency in MS Office, with exceptional knowledge of Excel, Word and PowerPoint
Excellent time management skills and the ability to prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
