Job Summary
The CEO Office Manager provides executive support in a one-on-one working relationship with the CEO. The CEO Office Manager serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the CEO. The CEO Office Manager represents the CEO both within and outside of the company and oversees and follows up on tasks assigned by the CEO to the general staff. The CEO Office Manager also serves as a liaison to the board of directors and the CEO, and between the CEO and the Executive Committee.
Job Responsibilities
Assist the CEO with daily administrative duties and complete a broad variety of administrative tasks that include managing an active calendar of appointments, composing and preparing correspondence, arranging complex and detailed travel plans, itineraries, and agendas, and compiling documents for meetings
Work closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities
Review contracts that require the CEO’s signature and give critical opinions to the CEO
Research, prioritize, and follow up on incoming issues addressed to the CEO, including those of sensitive or confidential nature
Communicate with the general staff on the CEO’s behalf and coordinate logistics with high-level meetings both internally and externally
Follow-through on projects to successful completion, often with deadline pressures
Participate as an adjunct member of the Executive Committee, including assisting in scheduling meetings and attending all meetings
Assist in coordinating the agenda of Executive Committee meetings, prepare meetings minutes, and follow up on assigned action items
Serve as the CEO’s administrative liaison to the Board of Directors and manage Board activities
Provide assistance as needed to front desk operations to include but is not limited to, answering phones, accepting the package and other deliveries, and greeting and signing in visito
Perform other duties as assigned
