Job Description

Greeting and Welcoming Guests:

Warmly greeting visitors upon their arrival and directing them appropriately.
Providing a positive and professional first impression.
Answering and Directing Phone Calls:

Managing the main phone line, answering incoming calls, and directing them to the appropriate department or personnel.
Taking and delivering messages accurately and promptly.
Handling Inquiries:

Responding to inquiries from the public and clients in person, via email, and over the phone.
Providing information about the organization, its services, and related inquiries.
Managing Appointments and Schedules:

Scheduling and coordinating appointments and meetings for staff and executives.
Maintaining and updating calendars.
Administrative Support:

Performing various administrative tasks such as data entry, filing, and maintaining records.
Assisting with the preparation of doents, reports, and presentations.
Handling Mail and Deliveries:

Receiving, sorting, and distributing incoming mail and deliveries.
Preparing and sending outgoing mail and packages.
Maintaining the Reception Area:

Keeping the reception area tidy, organized, and presentable.
Ensuring that brochures, magazines, and other informational materials are up-to-date and available.
Customer Service:

Addressing customer needs and concerns in a friendly and professional manner.
Escalating complex issues to appropriate personnel.
Security and Access Control:

Monitoring access to the building, ensuring visitors sign in and out.
Issuing visitor badges and maintaining visitor logs.
Managing Office Supplies:

Monitoring and ordering office supplies as needed.
Ensuring that the reception area and common areas are well-stocked.
Supporting Special Projects:

Assisting with special projects and events as needed.
Providing support to other departments as required.
