Job Description

- Reporting to management and performing secretarial duties.
- Processing, typing, editing, and formatting reports and doents.
- Filing doents, as well as entering data and maintaining databases.
- Liaising with internal departments and communicating with the public.
- Directing internal and external calls, emails, and faxes to designated departments.
- Arranging and scheduling appointments, meetings, and events.
- Monitoring office supplies and ordering replacements.
- Assisting with copying, scanning, faxing, emailing, note-taking, and travel bookings.
- Preparing facilities and arranging refreshments for events, if required.
- Observing the best business practices and etiquette.
- Identify new business opportunities in the market.
- Research potential clients by checking their websites and social media.
- Build a list of potential clients for all products.
- Cold calling daily to identify new business opportunities in the market.
- Schedule appointments for Sales Manager to meet with prospective clients.
- Identify the key person and decision maker to meet.
- Build a database of gatekeepers (first point of contact) with full names and titles for future communication.
- Collect information about the key person to help the Sales manager break the ice in the first meeting (from LinkedIn, Facebook, and Twitter).
- Build a healthy pipeline full of valuable opportunities.
- Establish new relationships by researching, adding, and developing new clients.
- Follow up with contacted prospects who were unreachable.


Candidate Requirements

- Formal qualification in office administration, secretarial work, or related training.
- Advanced proficiency in managing doents, spreadsheets, and databases.
- Ability to liaise internally and externally on administrative matters.
- Exceptional filing, recordkeeping, and organizational skills.
- Working knowledge of printers, copiers, scanners, and fax machines.
- Proficiency in appointment scheduling and call forwarding systems.
- Excellent written and verbal communication skills.
- Exceptional interpersonal skills.
- Good looking.
