Responsibilities:
Greeting and Welcoming Guests: Provide a warm and friendly welcome to all visitors, clients, and employees as they arrive at the office. Direct them to the appropriate person or department and ensure they feel comfortable and attended to.
Answering Calls and Emails: Manage a multi-line telephone system, answer incoming calls promptly and professionally, and route them to the appropriate individual or department. Respond to general inquiries via email and direct specific inquiries to the relevant team members.
Maintaining a Tidy Reception Area: Keep the reception area clean, organized, and presentable at all times. Ensure that reading materials and brochures are readily available and current.
Managing Appointments: Schedule, reschedule, and cancel appointments as required. Efficiently coordinate with staff members to accommodate appointment requests and maintain an organized appointment calendar.
Receiving and Distributing Mail: Collect, sort, and distribute incoming mail and packages to the appropriate recipients.
