Key Deliverables
Coordinating and maintaining day to day administrative and secretarial services and coordinating all administrative activities to ensure meeting requirements, this is achieved through scheduling meetings, maintaining office supplies and security, handling calls and requests, preparing and filing documents, and running follow-up actions as required.
Job Description:
Responsible in Screening all Incoming calls and handles caller’s inquiries / Re-directs calls as appropriate, takes and relays adequate telephone and fax messages.
In charge in releasing all Outgoing correspondences, Receiving letters from clients and Suppliers.
In charge in Receiving and Checking all Invoices from suppliers on a daily basis, maintains ledger and forward to Accounts Department for further processing.
Updates Document Control database(F4B) for all the Correspondences, Contract Documents, Insurances and General Legal Files of the company.
Responsible in Filing and Maintaining all Documents in the appropriate physical location in accordance with the Manual Filing System (Incoming and Outgoing letters, Interim Payment Certificate, Servi Agreements and Quotations).
Administers the distribution / circulation of Internal and External documents and Courier Deliveries.
Coordinates with all the Drivers - provides daily supervision assigned to them and monitors to ensure smooth, proper and consistent performance of duties.
Maintains office supplies by checking stock to determine inventory levels, anticipating requirements, placing and expediting orders for Management Heads and office Staff.
Coordinates and assists with Project Managers and Site Secretaries of the received and sent correspondences
Assists the Executive Secretary with daily office tasks.
Provides administrative support to Managers and other staff as required
