Original Bank Guarantee.
Purchasing Receipt.
Preparing quotations MOH, KOC and Private market
By adding the quoted prices as advised by Tender Manager or Pharma and Medical Manager
Keeping the notes and remarks according to the provided supplier quotation
ssuing the draft of bank guarantee for the initial LG needed for RFQ Submissions. (2% of the total value of quotation for MOH and 500 KWD for KOC)
Updating the tracking sheet as per the MOH, MOD & KOC RFQ No., Closing Date, and AAW Ref No. Item Description, Prices and Status.
General correspondence to the AAW store for ongoing deliveries, MOH stores to fix deliveries appointments.
Other daily routine office work such as tracking the expense sheet to settle in advance amounts needed for RFQs purchasing.
Arrange the monthly RFQs tracking sheet and send to the commercial coordinator for the pharma manager review.
Preparing and submitting LGs to the MOH and KOC based on contract value. (10% of the contract value).
Following up with the logistics team for the upcoming orders through a tracking sheet for the logistics as per the No. for each order, ETA Kuwait and Description.
Preparing local invoices for MOH.
Processing deliveries.
Overseeing the entire delivery operation
Preparing payment documents and submitting them to AAW HO to release the 75% from the total value (1st release) as follows:
AAW invoice pink copy
Signed AAW invoice by MOH
MOH Contra
Delivery Request
MOH initial Delivery Voucher
MOH DV query
AAW quotation
Following up payments with MOH Finance Dept. to get the balance (2"d release) 24%. 22- Attaching the MOH delivery voucher to JDE tender ledger.
Archiving of proof of deliveries (DVs).
Performs other duties and responsibilities as directed by the he of the department
